Our 2024 annual Providence Hills Community Association (PHCA) Board of Directors elections will occur on January 28, 2024, at 1 pm at the Clubhouse. This page is set up to be your one-stop shop for election information.

What are the positions up for election?

In 2024, two Board of Directors positions are to be elected to a two-year term. These positions are currently filled by Bob Armet and Mujeeb Shah-Khan.

Once elected to the Board, the Board of Directors will elect Directors for each Officer position.

What is the election process?

In order for the elections to be held, we must reach quorum — 20% of the homeowners must be present or accounted for at the time of the election. (Bylaws, Article II, Sections 7-9) This means that 52 households must be present, in person or through a proxy, for the vote to be held on January 28.

A common question asked is if the ballots can be mailed out ahead of time instead of requiring an in-person event with 52 households present. Our Bylaws require us to allow for Directors to be nominated from the floor (Bylaws, Article III, Section 4), which means that until the vote is actually held, a resident may be nominated for one of the Director positions. Because of this, we are required to provide an open forum for additional nominations.

Once we begin the elections meeting, we will have our management company, Bumgardner Association Management, verify that the quorum is met. A paper ballot will be distributed with the names of those who were previously nominated and write-in fields. Our management company will count the ballots and announce the results.

What are the Director’s responsibilities?

The Board of Directors, as a whole, has a defined list of Powers and Duties (Bylaws, Article III, Section 18). These include preparation and adoption of the annual budget; operation, care, upkeep, and maintenance of all PHCA areas; enforcing the provisions in the Declaration, Bylaws, and rules and regulations adopted by it; paying the cost of all services rendered which are not directly chargeable to Owners.

The Board of Directors will elect Directors for each Officer position at our first meeting following the election. Individual Officer position responsibilities can be found in the Bylaws, Article IV.

In short, we are looking for a team player who can help to contribute to creating and supporting a family-friendly community for all residents, and continuously work to improve and maintain the houses and neighborhood to ensure that Providence Hills is always a desirable place to live.

Our monthly meetings occur on the fourth Monday of every month at 7 pm at the Clubhouse. Outside of these meetings, we look for active participation in the neighborhood events, and involvement in the various projects and initiatives we are trying to take on for the neighborhood.

Attend the meeting on January 28, 2024, at 1 pm at the Clubhouse, OR

Nominations will also be taken from the floor before the voting if you do not want to submit a bio before the meeting but still would like to be considered for the Board.
